Communications, Policies and Forms

As a service to parents, we have assembled the following information for your review.

Forms You Need

Policies

 Additionally, please note the following:

  • We do not want scouts using cell phones during meetings for texting or entertainment. They can bring them, but should not be using them during meetings unless in the service of troop business.

  • While on trips, phones, gaming units and electronic gear is expected to be secured and not in use. They can also be handed to the scoutmaster/leader in charge for safe keeping. In general we want the scout to be present on these trips and not texting, etc. Additionally, if there is an issue (e.g., homesickness), we would like for the leader to have an opportunity to resolve the issue at the troop level. If needed, the leader will reach out to the parents.

  • Electronics during travel to and from an event are also discouraged but may vary depending on length of trip and/or driver choice.

  • When a scout is at a troop event, whether it be a camping trip or a meeting, that scout may not leave until the leader in charge knows that he is with a parent. If a scout is to be picked up by someone other than a parent, the leader in charge needs to be made aware of that.

Communication is key!

Troop Website and Calendar

  • This website has many resources - please look around

  • The website also has a link to the Troop Google Calendar. Try linking this calendar to your family event calendar!

Emails

  • Email is our ‘official’ communication avenue. Although we may also have materials in our website or google docs the emails will have all the primary info.

  • Scouts (and parents) are expected to be responsible for keeping up with the troop news – and most of that happens in emails. We recognize that not all scouts have emails at this age – however if your scout has an email address then please provide those so we can add them to the emails. If they do not have an email please be responsible for your scout reading the emails (print or review on your device).

  • The scouts need to read emails carefully. There can be a lot of details but rest assured you’re being kept up to date.

  • All emails regarding troop communications follows Youth Protection guidelines which means at least two adults on every email (often scouts may CC the troop email address in addition to parents).

 Discord

  • Another communications avenue the scouts are using is a chat service called Discord. This enables short conversations between patrol members and planning groups.

  • All Discord chats are moderated by the scoutmasters – and all parents are invited to participate on the server.

  • Voice channels are locked and are only used with participation of scoutmasters – and all chat text is archived.

  • Registration can be done here https://discord.com/register and there are clients for all of your favorite platforms.

  • An invitation needs to be send to new registered users from an existing Troop participant.
